Staff Training, Monitoring and Supervision Policy

1. Introduction

Let's Go Learning is committed to supporting the continuous professional development (CPD) of all staff, volunteers, and service users in structured roles. This policy ensures that all personnel are:

  • Well-trained, competent, and confident in their roles

  • Regularly supervised and supported

  • Monitored for performance, safeguarding compliance, and professional growth

This policy applies to all employees, volunteers, and contractors across all Let's Go Learning provisions, including online and alternative SEND provision.

2. Purpose

The purpose of this policy is to:

  • Provide structured, ongoing training for all staff and volunteers

  • Ensure effective supervision and support arrangements are in place

  • Maintain accurate records of training, supervision, and professional development

  • Promote a culture of continuous learning, accountability, and reflective practice

  • Demonstrate compliance with statutory and safeguarding requirements

3. Scope

This policy covers:

  • Teaching and support staff

  • Agency or temporary staff

  • Service users engaged in structured roles

4. Staff Training

4.1 Induction Training

All new staff and volunteers receive mandatory induction training, including:

  • Safeguarding and child protection (aligned with KCSIE guidance)

  • Health and safety procedures, including lone working and online provision considerations

  • Data protection and confidentiality (GDPR compliance)

  • Equality, diversity, and inclusion

  • Role-specific guidance for SEND or alternative provision

4.2 Ongoing Training

Let's Go Learning provides regular, planned training to ensure staff remain competent and up to date, including:

  • Safeguarding refresher training at least annually

  • Subject-specific CPD and pedagogical updates

  • Online teaching and technology use training

  • First aid, emergency procedures, and health & safety updates

  • Behaviour management and SEND support strategies

4.3 Training Records

HR maintains a comprehensive training record for each member of staff, volunteer, or service user in structured roles.

Records include:

  • Date of training

  • Type of training

  • Training provider

  • Completion status

  • Any follow-up actions required

Records are securely stored and available for monitoring visits and audits.

4.4 Induction Checklist (Operational Detail)

All new staff and volunteers must complete a structured induction checklist before commencing their role. This includes:

  • Completion of safeguarding and child protection training

  • Review and signed acknowledgement of key policies, including:

    • Safeguarding Policy

    • Behaviour Policy

    • Online Safety Guidance

    • Complaints Procedure

    • Operational Procedures

  • Introduction to platform systems and online delivery tools

  • Role-specific training relevant to teaching or support responsibilities

  • Confirmation of understanding of reporting and escalation routes

The induction checklist is recorded and retained as evidence of completion.

4.5 Policy Acknowledgement

All staff are required to confirm that they have read, understood, and agreed to comply with organisational policies.

This is evidenced through:

  • Signed induction documentation, or

  • Digital acknowledgement records

Policy acknowledgements are stored securely and reviewed during audits or monitoring visits.

4.6 Training Matrix and External Training Provider (National College)

Let’s Go Learning utilises National College as an external training provider to deliver and evidence staff safeguarding and professional development training.

A centralised staff training matrix is maintained and used alongside the Single Central Record (SCR) and HR records to ensure all training is tracked, monitored, and kept up to date.

Training Matrix Content

The training matrix records, for each member of staff:

  • Training completed (e.g. Safeguarding, GDPR, Health & Safety, CPD modules)

  • Training provider (including National College and internal training)

  • Date of completion

  • Renewal or refresher date (where applicable)

  • Status (completed / in progress / overdue)

Purpose of the Training Matrix

The training matrix is used to:

  • Monitor compliance with mandatory training requirements

  • Ensure safeguarding and statutory training remains current

  • Identify training gaps and prompt renewals

  • Support supervision, appraisal, and CPD planning

  • Provide evidence for audits, inspections, and monitoring visits

Integration with National College

  • Staff complete training modules via National College

  • Completion records and certificates are used as evidence of training

  • Certificates are stored securely in a designated training repository

  • National College records are cross-referenced with the internal training matrix

Review and Monitoring

  • The training matrix is reviewed regularly by HR and senior management

  • Mandatory training compliance is monitored at least monthly

  • Expiring or overdue training is escalated and addressed promptly

  • Training records are reviewed alongside supervision and appraisal processes

4.7 Induction, KCSIE Alignment, and Policy Acknowledgement

Let’s Go Learning operates a structured onboarding and induction process for all staff, contractors, and volunteers to ensure that all individuals are fully aware of their responsibilities, safeguarding obligations, and operational expectations prior to commencing work.

Onboarding and Induction Process

All new staff complete the organisation’s onboarding process via the dedicated onboarding portal:

This onboarding process includes structured steps covering:

  • Introduction to the organisation and its values

  • Contractual arrangements and expectations

  • Code of Conduct

  • Teaching practices and platform-specific guidance

  • Operational procedures for delivering sessions

  • Communication protocols

  • Payment and invoicing procedures

  • Technical setup and classroom readiness

  • Safeguarding and trust & safety expectations

Staff must complete all onboarding steps prior to commencing teaching or delivery responsibilities.

Induction Content

As part of induction, staff are required to review and acknowledge the following key areas:

  • Safeguarding Policy and procedures

  • Child protection expectations in line with Keeping Children Safe in Education (KCSIE) principles

  • Behaviour expectations and professional conduct standards

  • Whistleblowing procedures

  • Online safety and platform usage guidance

  • Communication and reporting routes

  • Operational procedures for teaching and learner engagement

KCSIE and Safeguarding Awareness

All staff are required to confirm that they understand their safeguarding responsibilities in line with KCSIE principles, including:

  • Recognising signs of abuse or concern

  • Responding appropriately to disclosures

  • Reporting concerns immediately to the Designated Safeguarding Lead (DSL)

  • Understanding escalation routes and safeguarding procedures

  • Maintaining professional boundaries at all times

Policy Acknowledgement

All staff must formally acknowledge that they have:

  • Read and understood key organisational policies

  • Agreed to comply with all safeguarding, operational, and behavioural expectations

This includes acknowledgement of:

  • Safeguarding Policy

  • Code of Conduct

  • Behaviour expectations

  • Whistleblowing procedures

  • Communications policy

  • Online safety and trust & safety guidance

Acknowledgement is evidenced through one or more of the following:

  • Signed onboarding documentation

  • Digital confirmation via onboarding platform

  • Completion of onboarding steps requiring confirmation

  • Record of completion within internal systems

Induction Checklist (Evidence of Completion)

Let’s Go Learning maintains an induction checklist to ensure consistency and completeness of onboarding. The checklist confirms that the staff member has:

  • Completed all onboarding steps via the onboarding portal

  • Reviewed and acknowledged required policies

  • Understood safeguarding responsibilities and escalation routes

  • Completed any required safeguarding or compliance training

  • Received guidance on teaching delivery, platforms, and operational procedures

  • Confirmed understanding of Code of Conduct and professional expectations

The completed induction checklist is retained as part of staff records and may be reviewed during audits or monitoring visits.

Link Between Induction and Practice

Completion of induction is a mandatory prerequisite before staff:

  • Deliver sessions to learners

  • Interact independently with learners

  • Access teaching platforms in an operational capacity

This ensures all staff are appropriately prepared, informed, and compliant prior to engaging in delivery activities.

5. Supervision and Support

5.1 Supervision Arrangements

All staff receive regular supervision sessions with their line manager, at a minimum:

  • Monthly for new or probationary staff

  • Termly for established staff

Supervision sessions include:

  • Reflection on practice and professional development

  • Discussion of safeguarding or online provision concerns

  • Review of training needs and CPD opportunities

  • Feedback and support for wellbeing and performance

5.2 Group Supervision / Peer Support

Where appropriate, staff may participate in group supervision, mentoring, or coaching sessions to share practice, discuss challenges, and support professional growth.

5.3 Record-Keeping of Supervision

Line managers maintain confidential records of supervision sessions, including:

  • Date and duration

  • Topics discussed

  • Actions agreed and follow-up plans

Records are reviewed periodically to ensure compliance and effectiveness.

5.4 Escalation and Support Routes

Staff are provided with clear escalation routes for concerns arising in their role:

  • Safeguarding concerns → DSL via safeguarding@lets-go-learning.com or emergency contact

  • Operational concerns → Line manager or senior management

  • Learner progress or behaviour concerns → Lead tutor or assigned supervisor

Supervision sessions are used to review ongoing issues and ensure appropriate action has been taken and recorded.

6. Monitoring and Evaluation

Training completion and supervision records are monitored by HR and senior management.

Compliance with mandatory training (safeguarding, health & safety, GDPR) is tracked and reported to the Management Committee.

Observations, appraisals, and feedback mechanisms are used to evaluate the effectiveness of training and supervision.

6.1 Compliance Monitoring

Training completion, supervision records, and CPD engagement are regularly monitored to ensure:

  • All mandatory training is completed and up to date

  • Supervision is conducted at the required frequency

  • Staff remain competent and supported in their roles

  • Any gaps in training or supervision are identified and addressed promptly

7. Continuous Professional Development (CPD)

Staff are encouraged to engage in professional development beyond mandatory training, including:

  • External courses and workshops

  • Online training modules

  • Specialist SEND or online provision training

CPD activities are recorded in individual staff portfolios and considered during performance appraisals.

8. Responsibilities

  • Management Committee: Approve policy, ensure adequate resources, oversee compliance

  • Senior Management: Implement and monitor training, supervision, and CPD arrangements

  • HR: Maintain staff training and supervision records, track compliance, coordinate CPD

  • Line Managers / Supervisors: Conduct supervision, identify training needs, provide support and feedback

  • Staff / Volunteers: Participate in training, engage in supervision, maintain professional development records

9. Evidence for Monitoring

The following evidence is maintained and made available for audits and monitoring visits:

  • Staff training matrix / record

  • National College training records and certificates

  • Safeguarding training certificates

  • Supervision logs

  • CPD portfolios

  • Appraisal forms

  • Induction checklists

  • Signed policy acknowledgement records

  • Attendance records for mandatory training

  • Audit or compliance reports

These collectively demonstrate compliance, implementation, and ongoing monitoring of training and supervision.

10. Policy Review

This policy will be reviewed annually to ensure it remains effective, relevant, and compliant with statutory requirements.

Updates will be communicated to all staff, volunteers, and contractors.
